Exhibitor Application

We are delighted to invite exhibitors to register for spaces at NELA’s 2016 Conference at the DoubleTree by Hilton in Danvers, MA.  We expect to have a sold out exhibit hall.  Use the form below to request your spot in the Exhibit Hall.  Please click HERE to see the exhibit hall floorplan.  Please click HERE to see table and booth pricing.

We are happy to offer our exhibitors the opportunity to take part in any and all of the conference meals.  We will have more information available regarding meals in a few months.

If you have not received an emailed invoice within 2 business days of your submission, please be sure to check your spam/junk mail folder.  If still unsure, please email Megan Bishop at mbishop@nelib.org.  Please note that your organization will NOT be added to our exhibitor showcase until your account is paid in full.

Exhibitor Application

Exhibits will open on Monday, the 17th and close mid-Tuesday, the 18th. There will be an optional early set-up time on Sunday afternoon.

  • Premium booths and tables are located on the ends of each aisle and around the Lounge Area. Please click HERE for a copy of the Exhibit Hall floorplan.

    All booths are 8’ x 8’ and vary in location. Each 8’ x 8 booth includes an 8’ high backwall, 3’ high side rails with drapes, one(1) wastebasket, and a 7’’ x 44’’ Exhibitor ID sign. Please note that no furniture will be provided with the booth. All furnishings and equipment are the responsibility of the exhibitor and may be ordered directly from SER Exposition Services, who will provide order forms.

    All tables are 8’ x 2’ and vary in location. Each tabletop package includes an 8’ x 2' x 30’’ high skirted table, two(2) folding chairs, one(1) wastebasket, and a 7’’ x 44’’ Exhibitor ID sign. Please note that no additional furnishings are allowed in the tabletop spaces. Also, no displays of any kind may be placed in front of or to the side of your table, so as not to infringe on the sight line of other exhibitors.

    All foyer tables and booths are located in the ballroom foyer outside of the exhibit hall. Please note that this area will NOT be locked outside of show hours. You can choose to bring your valuables with you when you leave or place them in a nearby locked storage room for the night.

  • You may enter up to 3 space preferences based on the exhibit hall floorplan. NELA makes no guarantees that preferences will be able to be accommodated and changes may be made at NELA's discretion. Please click HERE for a copy of the Exhibit Hall floorplan. Please keep in mind your table/booth type. We cannot accommodate a request for a premium booth or table space if you have not chosen to upgrade.
  • To qualify for non-profit pricing, your organization must prove your non-profit status by providing your Employer ID Number (EIN). Non-profits may only apply for one table top display space and may not occupy a premium table or foyer table space. All non-profit tables will be located inside of the exhibit hall in a general table space.

  • Each exhibitor is allowed four staff members for no additional charge. There is a $10 fee for each additional staff member. Please notify NELA prior to conference of any personnel changes. Exhibitors must pick up badges to gain entry to exhibit hall.

  • How can you make sure your organization gets noticed by as many attendees as possible? Take advantage of one of our great sponsorship opportunities! These will be on a first come, first serve basis.

    Conference Tote Bag – All proceeds from conference tote bag sponsorships will go towards NELA’s Educational Assistance Fund, which helps increase conference attendance by providing financial assistance to potential attendees. We will accept five organization logos.

    Conference Tote Bag Swag – Your choice of merchandise to be included in the conference tote bag, because who doesn’t love getting swag!

  • Event & Meal Sponsorships – All sponsorships include an announcement at the event, conference signage, pre-conference promotion via NELA’s website and social media, and inclusion in conference program. We will accept up to 3 sponsors for each event.

  • There are also select Premium Sponsorships available for the Exhibit Hall Lounge, the Poster Sessions and more. Please check here if you would like someone from the Conference Committee to contact you about these opportunities.

  • Please select this option if you would like to add a vendor demo for your organization. Vendor demos will take place during one of our regularly scheduled program times. Vendors are allowed ONLY one demo.

  • Please enter a brief description of your program. There is space for 385 characters, which is roughly 50 words. (Program description may be shortened at NELA's discretion due to print space restrictions.)
  • Do you prefer Sunday, Monday or Tuesday? We will do our best to accommodate and will email you with the final date and time. If the available date and time does not work for you, please let us know within 48 hours, and you will have the option to cancel for a full refund. (Please note that our conference scheduling has not been finalized, so you will receive your final timeslot at a later date.)

    The exhibit hall will not be open until Monday, but we welcome vendors to present demos on Sunday as well

If you would like to consider a sponsorship, but are not able to attend in person, we ask for a minimum sponsorship of $500.  You may choose any combination of the sponsorship options to meet this minimum.  Please email mbishop@nelib.org with questions.  Thank you in advance for your generosity.
